Getting Started

How do I create my first invoice?

Navigate to the Invoices page, click "New Invoice", select or add a client, fill in the details, and save. Your invoice will be automatically numbered and formatted professionally.

Can I add clients while creating an invoice?

Yes! When creating an invoice or quote, simply select "+ Add New Client" from the client dropdown. A modal will open allowing you to add the client without leaving the invoice page.

What information do I need to set up my account?

Complete your business settings with your business name, address, contact details, tax information, and banking details. This ensures all your invoices contain the required information.

Invoices & Quotes

How do I convert a quote to an invoice?

Once a quote is accepted, open the quote detail page and click "Convert to Invoice". All details will be automatically transferred to a new invoice.

Can I customize invoice templates?

Pro users can customize invoice templates with their branding. Free users have access to professional default templates that comply with PNG business standards.

How do I record a payment?

Open the invoice detail page and click "Record Payment". Enter the payment amount, date, and any notes. The invoice status will automatically update.

What happens if I make a mistake on an invoice?

You can edit draft invoices before sending. For sent invoices, create a credit note or new corrected invoice to maintain proper audit trails as required by BPNG.

Clients & Projects

How do I manage multiple clients?

The Clients page shows all your clients with their payment history. Click any client to view detailed information, invoices, quotes, and outstanding balances.

Can I add notes to client profiles?

Yes, each client profile has a notes section where you can add custom information, preferences, or important reminders.

How do I track which clients owe me money?

Your dashboard shows outstanding amounts by client. The Invoices page can be filtered to show only unpaid invoices, sorted by due date.

Payments & Expenses

What currencies does InstaInvoice support?

InstaInvoice supports PGK (Papua New Guinea Kina), AUD, USD, NZD, and other major currencies. Set your primary currency in Settings.

How do I track business expenses?

Go to the Expenses page and click "Add Expense". Categorize your expenses, attach receipts, and flag tax-deductible items for easier tax preparation.

Can I generate GST reports?

Yes, the Reports section includes GST reports showing your tax collected and paid, suitable for Business Activity Statement (BAS) submissions to PNG IRC.

How do I add my banking details?

Go to Settings > Business Settings and add your bank account details. These will appear on your invoices as payment instructions for clients.

Reports & Analytics

What financial reports can I generate?

InstaInvoice provides Profit & Loss statements, Balance Sheets, and Cash Flow reports. All reports can be exported as PDF files.

How often are reports updated?

All reports are generated in real-time based on your current data. Any new invoices, payments, or expenses are immediately reflected.

Can I share reports with my accountant?

Yes, export reports as PDF files and share them via email. All reports follow PNG accounting standards and include necessary details for tax preparation.

Account & Settings

How do I upgrade to Pro?

Visit the Subscription page from your user menu or Settings. Pro subscriptions offer unlimited invoices, custom branding, and priority support for PGK 100/month.

Is my data secure?

Yes, all data is encrypted with AES-256 encryption, stored securely in the cloud, and backed up daily. We comply with international data protection standards.

Can I export my data?

Yes, you can export invoices, reports, and client data as PDF or CSV files. This ensures you always have access to your business records.

How do I change my invoice numbering format?

Go to Settings > Business Settings and customize your invoice prefix and numbering format. Changes apply to new invoices only.
